Terms of service

These terms apply when you use Veriframe to convert CCTV or DVR exports. Please read the section on acceptable use — it is short, and it matters.

"We" and "Veriframe" mean Veriframe Ltd, registered in England and Wales, company number 17390632, registered office 82 Suite A James Carter Road, Mildenhall, IP28 7DE.

What the service does

You send us a proprietary CCTV export. We convert it to standard MP4 files that play in an ordinary browser, together with a self-contained player page, and make them available to download. That is the whole of it.

Conversion is lossless where the source allows: we copy the existing video rather than re-encoding it, so the pictures you get are the pictures that were recorded.

Accounts

Accounts are set up by invitation. You are responsible for who you let into your organisation's account, including anyone who joins automatically because they hold an address at a domain you have enabled.

A job link is a key. Anyone holding one can open that job without signing in — that is what makes it possible to send a conversion to a colleague, a solicitor or an investigating officer who has no account with us. It also means the link is yours to control: treat it like a password, send it only to people who should see the footage, and do not post it anywhere public. Access obtained through a link you have shared, forwarded or published is outside our control and is not something we can be responsible for. Members of your organisation can also reach your jobs by signing in, which needs no link at all.

Credits and payment

Conversions are paid for with credits, bought in advance. What a job costs depends on the size of the export you send, so you know the price before you start; the current rates are shown on the credits page when you are signed in. A new organisation is given a free credit so you can prove the service converts your footage before paying anything.

Credits do not expire. Prices may change, but a change never affects credits you have already bought.

If a conversion fails, its credit is returned automatically — you are not charged for a job that did not deliver. If you think you have been charged for a job that failed, tell us and we will put it right.

If you buy credits and change your mind, tell us within 14 days and we will refund any you have not used.

Card payments are handled by Stripe. We never see or hold your card details. A receipt is issued for every payment; ask us if you need anything further for your records.

Veriframe Ltd is not registered for VAT. No VAT is charged on these amounts and none is recoverable on them. The price you see is the price you pay.

Acceptable use

You must have the right to send us the footage. By uploading it, or giving us a link to it, you confirm you are entitled to have it processed and that doing so does not breach anyone's rights or any court order.

You must not send us: indecent images of children; material that is unlawful to possess or distribute; material obtained unlawfully; anything subject to a reporting restriction or order you would be breaching; or content unrelated to CCTV conversion.

We do not routinely view footage. If we become aware of material of the kind above we will act on it, which may include reporting it to the police and preserving it where we are required to, notwithstanding the deletion schedule below.

You must not attempt to disrupt the service, access another customer's jobs, or use it to distribute files that are not CCTV exports.

Processing footage on behalf of an organisation

Where we convert footage for you we act as your processor under the UK GDPR, and our data processing agreement forms part of these terms. It applies automatically from the first job you send — you do not have to ask for it or sign anything. If your procurement process needs a signed copy, or your own paper completing, ask and we will do it.

If anything in these terms conflicts with the data processing agreement on the handling of personal data, the data processing agreement takes precedence.

Retention — we are not a storage service

This is a deliberate limit rather than a shortcoming:

Never send us the only copy of anything. There is no backup, deletion is permanent and automatic, and we cannot recover a job once it has gone. Download what you need and keep it somewhere of your own.

What we cannot promise

CCTV formats are proprietary and undocumented; we have reverse-engineered the ones we support. We will tell you honestly whether a format converts, and there is no charge for finding out, but we cannot guarantee that any particular export will convert, or that a conversion is complete or fit for a given purpose. Check the output before you rely on it.

The service is provided as-is. We do not guarantee it will be available at any given time, and capacity is limited by design — at busy moments a job may be refused rather than run badly.

Nothing here limits our liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited. Subject to that, we are not liable for indirect or consequential loss, for loss of data you did not keep a copy of, or for any decision taken on the basis of converted footage. Our total liability is limited to what you have paid us for the job concerned.

Suspending or ending an account

You may stop using the service at any time and ask us to remove your account. We may suspend or end an account that breaches the acceptable use section above, and will normally tell you why.

Changes

We may update these terms. If a change materially affects you we will tell account holders by email. The date at the top shows when this version was published.

Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
